Job Title: Logistics & Operations Coordinator – Remote (Australia-wide)
Location: Remote (based in Australia; ideally Eastern Standard/Queensland time zone)

This role is pivotal — bridging order intake, routing, driver liaison, and customer/warehouse communication.
Key Responsibilities / What You'll Do
- Oversee driver pre-shift vehicle inspection reports (DVIRs), follow up on outstanding issues and escalate when required.
- Receive incoming orders from various channels, validate order data, and upload to our dispatch system.
- Create and manage a variety of job types, including commercial, residential, photo-shoot, equipment installation, one-off and recurring runs.
- Send & configure customer ETA notifications (via transport management system) ahead of scheduled work, plus on-day reminders.
- Communicate with warehouse, branch, showrooms and fulfilment teams regarding incoming and outgoing shipments, changes and coordination.
- Process fulfilment portal tasks (e.g., marking orders shipped/dispatched) and ensure system status aligns with actual operations.
- Use route-planning and mapping tools (e.g., digital boards and transport/delivery/freight management systems) to organise daily driver runs, and ensure run-lists align with dispatch software.
- Provide real-time support and liaison with drivers during their runs: resolve app & route issues, job changes, cancellations and escalation of errors.
- Coordinate with customer service team, internal and external operations teams to ensure driver-reported issues, cancellations or incidents are captured, communicated and resolved.
- Continuously monitor and improve dispatch workflows to enhance operational efficiency and service quality.
Skills & Experience
- Minimum 2-3 years demonstrated experience in logistics operations, dispatch coordination or operations management (preferably in Australia or a remote context).
- Proficient with dispatch/route systems, job/event creation tools and data input processes - advanced Excel and spreadsheet skills preferred.
- Excellent written and verbal communication skills — including liaising with drivers, internal stakeholders and customers.
- Strong organisational capability, attention to detail, and capacity to prioritise in a dynamic environment.
- Self-motivated and able to work effectively in a remote setup, with high productivity and autonomy.
- Adaptable and resilient: comfortable with changing priorities, unexpected cancellations or route variations.
- Australian citizenship, permanent residency, or a valid work visa with unrestricted work rights
Teamwork & Leadership Responsibilities
- While working remotely, you'll regularly collaborate with multiple teams (drivers, customer service, warehouse/fulfilment, internal operations).
- You'll build relationships, act as an escalation point for driver queries and support less experienced team members in dispatch processes.
- You'll contribute to process improvement initiatives and may help define or refine operational standards.
Preferred Qualifications
- Prior role as Logistics Coordinator, Dispatch Coordinator, or Operations Manager in a logistics/distribution environment.
- Experience using dispatch/tracking software, route management tools and digital run-boards or planning boards.
- Advanced Excel and spreadsheet skills preferred.
- Proven track record of working remotely or coordinating operations across distributed teams.
- Experience handling multiple job types (residential, commercial, project-based dispatch) and managing manual job creation and scheduling.
- Familiarity with customer service liaison, driver communications, cancellations and system-to-real-world alignment.
- Bonus: Experience in using scheduling tools for planning and working with various fulfilment or portal systems.
