The Sovereign Hill Museums Association is a not-for profit community-based organisation that includes: Sovereign Hill Outdoor Museum, Sovereign Hill Hotel, AURA and Narmbool, the Australian Centre for Rare Trades and Arts and the Australian Centre for Gold Rush Collections. It cares for a nationally and internationally significant collection of over 150,000 objects and protects the tangible and intangible cultural heritage of the Victorian gold rush.
We are an Australian tourism icon that attracts some 500,000 visitors annually. The Outdoor Museum is internationally renowned as a living museum featuring rare trades, and programs and experiences that interpret a pivotal point in Australia's history. In all, some 350 staff work to bring our gold-rush story to life. They are supported by over 250 volunteers.
About the Role
TheExecutive Support Officer plays a pivotal role in streamlining administrative operations and supporting the efficiency of Sovereign Hill's Executive team. This position provides proactive executive and administrative assistance to four members of the Executive, including diary and travel management, expense processing, and meeting coordination. The role also oversees reception and office management at the Head Office, ensuring a professional, well-maintained, and welcoming environment for visitors and staff alike.

Duties & Responsibilities
- Provide executive and administrative support to assigned Executives, including calendar, travel, expense, and correspondence management.
- Coordinate and prepare materials for Executive and Senior Leadership Team (SLT) meetings and events, ensuring smooth logistics and professional delivery.
- Manage front office and reception duties, greeting visitors and ensuring the Brightview office environment is welcoming and well maintained.
- Handle office administration, including mail distribution, ordering and maintaining supplies, and supporting workplace logistics.
- Maintain organised filing systems, ensuring confidentiality, accuracy, and timely access to information.
- Collaborate effectively with the broader Executive to support special projects and organisational priorities.
Desired Qualifications
- Certificate II or III in Business or Office Administration (or progress toward completion).
- Demonstrated experience in providing high-level administrative or executive support in a busy, multi-stakeholder environment.
- Strong proficiency in Microsoft Office and the ability to quickly learn new systems.
- Excellent organisational skills, attention to detail, and the ability to prioritise competing demands.
- Professional interpersonal and communication skills, with the ability to handle sensitive information with discretion and respect.
