Job Description
  • We are seeking an experienced Event Coordinator and Project Manager to join our team. This role will be responsible for overseeing all aspects of event planning, from conception to execution.
  • The successful candidate will have 3+ years of experience in event management, with a strong understanding of logistics, budget management, supplier negotiations, marketing, security, and brand ambassador management.
  • This role will require exceptional communication and presentation skills, as well as the ability to problem-solve and work collaboratively as part of a team.
Responsibilities:Event Planning:
  • Develop comprehensive plans to support project delivery, including timelines, budgets, schedules, stakeholder briefs, logistics, talent, equipment, safety, and facilities.
  • Assist with the management of event/project budgets, including cost projections, cost control, payments, and reporting.
  • Deliver event requirements/projects in accordance with agency standards, agreed plans, and operational needs.
Project Management:
  • Manage multiple projects simultaneously, prioritizing tasks and deadlines to ensure successful delivery.
  • Collaborate with internal teams across the agency to meet client goals and event objectives.
  • Provide regular updates to the Event Director and key stakeholders on project progress, issues, and opportunities.
Risk Management and Safety:
  • Ensure risk and safety considerations are fully integrated into the planning process.
  • Assist with managing site safety requirements, including risk assessments, equipment safety, inductions, and compliance requirements.
Administration:
  • Support the department with administrative activities, including report compilation, documentation preparation, systems administration, and other duties as assigned.
Requirements:Essential Skills:
  • Exceptional verbal, written, communication, and presentation skills.
  • Solutions-focused with the ability to quickly problem-solve.
  • Client-focused and passionate about delivering high-quality solutions and services that exceed expectations.
  • Highly organized with proven ability to manage multiple projects.
Desired Experience:
  • 3+ years' experience in event management, with a strong understanding of event logistics, budget management, supplier negotiations, marketing, security, and brand ambassador management.
Desired Qualifications:
  • Tertiary qualifications in event management, marketing, or a related field.
