How you will make an impact
As an Executive Assistant, you will be responsible for the provision of high level, confidential administrative and executive support to the following executives; Chief Financial Officer, Chief Information Officer and Group Director Health Funds & Patient Services. Key to your success in this role be ensuring the efficient management of time, resources and information, while offering compassionate, competent service within the framework of the Mission, Values and Vision of Cabrini.
Key responsibilities include:
- Providing high level executive administrative support to the relevant personnel- Coordinating the day to day activities of the corporate office administration in conjunction with the Property Manager- Maintaining electronic diaries, scheduling meetings and appointments as appropriate, arranging travel, accommodation, meeting rooms, venues and catering where required- Receiving, screening and relaying telephone calls and enquiries- Attend to incoming mail for the relevant personnel and distribute and respond accordingly- Preparing and coordinating the production of briefing papers, reports, agendas, minutes, documents and other material for various meetings
What you will bring to the role
You will also have:
- Proven, extensive diary management capabilities to manage the schedule of 3 executives including internal and external meeting preparation- Advanced computer skills in Microsoft Word, Microsoft Outlook, Microsoft PowerPoint skills, SharePoint, Kronos (ideal)- Demonstrated high level minute taking skills and attention to detail with efficient management of time, resources and information- Ability to show initiative, communicate effectively at all levels and maintain confidentiality in all matters- High level of interpersonal skills, problem solving, coordination and organisational skills- Ability to work both autonomously and in a team environment
