The Opportunity

We are seeking a skilled Proactive Support Specialist to join our executive team, providing proactive support to key executives. Your primary role will involve managing their calendars, prioritizing requests, and making recommendations to optimize their time management and workflow. You will assist in preparing presentations, organizing meetings, agenda preparation, and taking meeting minutes. As part of the administrative team, you will collaborate with other team members to establish a cohesive support structure, streamlining operations and ensuring smooth coordination within the organization.

This is a Max Term Part-time position based out of our corporate office at Hawthorn, but you may be required to work at other sites with flexibility to work some days at home. We offer a competitive salary of $94.99 per hour pro rata, plus superannuation and salary packaging opportunities that reduce tax payable on income.

Key Responsibilities:

  • Manage the electronic calendars of key executives, scheduling meetings and appointments as appropriate, arranging suitable meeting rooms, venues, and catering where required.
  • Prepare and coordinate agendas, minutes, documents, and other materials for committees and internal meetings involving key executives.
  • Prepare and reply to correspondence as required and maintain a coordinated electronic filing system of all documentation on SharePoint.
  • Monitor emails, prioritize/categorize/respond as directed by key executives to ensure responsiveness and information flow.
  • Manage monthly corporate credit card reconciliation and invoicing.
  • Assist in the preparation of presentations and documentation as required.
  • Coordinate and support organizational events and other duties as required.

Required Skills and Qualifications:

  • A minimum of 3 years' experience as an Executive Assistant or similar role.
  • Well-developed presentation and written communication skills.
  • Demonstrated ability to work under pressure and negotiate competing priorities successfully.
  • Demonstrated ability to work collaboratively within a team environment.
  • Excellent information systems literacy, including Microsoft Teams, SharePoint, Office.
