We are currently recruiting for Administration Officer to assist infrastructure services of our client based in Belmont location with previous work experience in local government with immediate start.
**About the Role**:
- Provide secretarial and administrative duties for the Director Infrastructure Services and provide support to other Managers and officers within the Division.
- In Operations Centre effectively manage the day to day administrative activities and Assist with research, report preparation, memos, correspondence, presentations and/or Agenda items for Council and other Forums and meetings.
- Undertake general administrative duties - photocopying, faxing, binding of various documents, conference and training registrations, airline and accommodation bookings and the processing of traffic infringements.
- Manage the electronic (Finance One), Orders and Requisitions process for the Department including preparation and processing of invoices.
- Coordinate the registering and controlling of inward and outward correspondence in ECM and Pathway including developing templates, generating and distributing customer requests, undertaking ECM searches, providing support to the Director Infrastructure Services and officers.
- Answer incoming calls, respond to general enquiries, take phone messages or transfer customers to the appropriate officer for action, particularly in relation to waste management enquiries.
- Assist in the updating and review of designated areas of Divisional Business Management System to meet compliance and assist with the review of Work Instructions, Process Maps, Fact Sheets and relevant Corporate Documents.
- Actively seek and report on methods of improving systems of work, policies and practices, to ensure the continuous improvement of the City's Business Management System.

**About You**:
- Previous experience working in a secretarial/administrative role, preferably within a technical environment and good understanding of budgetary procedures, including preparation and monitoring.
- Well developed interpersonal and conflict resolution skills with the ability to communicate with a wide range of people and groups to ensure delivery of a high level of customer service.
- Well-developed organisational and administrative skills with the ability to effectively prioritise projects and multiple tasks to meet strict deadlines and achieve outcomes..
- Good decision making and problem solving skills with the ability to exercise initiative and good judgement and Good written communication skills including the ability to undertake basic research tasks.
- An understanding of civil construction works and Exposure to contract administration and tendering processes is a must.
