Job Summary:

This role reports directly to the Workplace Facilities Manager (WFM) and involves providing administrative support and controlling the office reception as required.

Main Responsibilities:

  • Handle incoming telephone calls efficiently and professionally.
  • Welcome visitors to the office in accordance with company standards.
  • Arrange security passes for visitors and staff where necessary, ensuring the security card is audited and updated monthly.
  • Manage meeting room bookings through desk booking software, maintaining a clean and tidy reception area.
  • Arrange mail and courier services.
  • Support the WFM with daily office operations tasks.
  • Coordinate meetings and events, including furniture setup, food and beverage ordering, and maintaining room tidiness.
  • Engage with vendors and building management for smooth office operations.
  • Perform additional duties as required by the WFM or Arcadis management.
  • Participate in First Aid and Evacuation Warden roles.
  • Pursue Continuing Professional Development (CPD).
  • Familiarize yourself with Health and Safety regulations and guidelines.

Requirements and Qualifications:

  • Relevant experience in a professional environment.
  • Organized, methodical, and good work ethic.
  • Professional appearance and phone manner, with excellent communication and relationship-building skills.
  • Commitment to customer service.
  • Excellent communication and relationship-building skills, both internally and externally.
  • Good knowledge of Microsoft Office packages.
  • Familiarity with general IT systems and those used in Workplace services.
  • Ability to manage time effectively and prioritize tasks.

The estimated salary for this role is around $45,000 - $60,000 per year, depending on location and experience.
