About the Role

The Administration Officer is essential for organising the daily operations of our Golf Clubhouse. You will be responsible for supporting and streamlining the daily administrative, scheduling, and operational functions of the golf and hospitality departments at Pelican Waters Golf Club. This role is essential to ensuring a seamless coordination between departments, enhancing the guest experience, and supporting operational excellence.

This is a full time role on a 38 hour week covering the span of shifts on a Monday to Friday with occasional weekend shifts with a view to expand the golf clubs services & membership. If you're looking to be part of a dynamic, vibrant team in a truly unique environment, we'd love to hear from you

Your duties will include, but are not limited to;

  • Administration & management of Golf Memberships via MiMembership system
  • Assist with purchase orders, invoicing, reconciliation and basic financial reporting;
  • Maintain accurate records, financial reports, and compliance documentation
  • Assist with bookings, event coordination, and scheduling systems
  • Update daily, weekly & monthly operational reports;
  • Prepare and distribute internal communications, calendars/schedules, events/daily/weekly run sheets, ensuring all departments are informed and prepared;
  • Maintain inventory & stocktake for golf and hospitality supplies;
  • Monitor equipment and facility maintenance schedules & coordinate with appropriate departments;
  • Maintain and update daily operations logs for golf course conditions, staffing, promotion periods and special events.
  • Assist operations staff with hosting, answering phones & directing guests during busy periods;
  • Point of contact for residents and guests for event bookings, account inquiries etc;
  • Contribute to the continuous improvement of operational processes and standards

What We're Looking For:

  • Proven experience in administration, ideally within hospitality, leisure, finance or golf industries
  • Working knowledge of Hospitality &/or Golf Operations will be highly regarded
  • Experience in establishing processes/procedures to streamline operations, creating cohesion across departments and stakeholders;
  • Understanding of basic financial reporting, purchasing & processes
  • Strong computer literacy across MS Suite with intermediate MS Excel knowledge
  • Experience with MiMembership/MiClub software will be highly regarded
  • Ability to work within a team, collaborate and give/take direction as well as work autonomously
  • Professional, polished, and personable, with excellent communication and interpersonal skills
  • A natural problem-solver who stays calm under pressure and takes ownership of tasks
  • Proactive, dependable, and always ready to lend a hand wherever needed
