We're seeking an experienced Executive Assistant (EA) to support our business owners across multiple ventures — someone who thrives in a fast-paced, diverse environment and can manage a mix of administrative, creative, and operational tasks.


Key Responsibilities

Executive Support & Administration

  • Manage and prioritise multiple inboxes and communications on behalf of the owners
  • Coordinate calendars, appointments, travel arrangements, and meetings
  • Draft and format correspondence, documents, and reports
  • Prepare presentations, proposals, and internal communications
  • Maintain confidentiality and professionalism in all dealings

Financial & Operational Support

  • Assist with invoicing, payments, and reconciliations in Xero or similar software
  • Track expenses and prepare basic financial summaries
  • Support budgeting, reporting, and supplier coordination tasks

Marketing & Creative Tasks

  • Create and schedule content using Canva (social posts, flyers, presentations)
  • Assist in producing social media reels and video snippets for business accounts
  • Manage brand assets, social media calendars, and campaign coordination

Business Coordination

  • Liaise with team members, clients, and suppliers across multiple companies
  • Support project tracking, document management, and workflow systems
  • Research, source, and coordinate external services as needed

Skills & Experience Required

  • Minimum 3 years' experience as an Executive Assistant, Personal Assistant, or Senior Administrator
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, Canva, and social media platforms
  • Experience with Xero or similar accounting systems preferred
  • Excellent time management, attention to detail, and ability to multitask
  • Discretion, initiative, and a proactive "get things done" attitude
  • Confident working autonomously and managing competing priorities
