A2B Personnel is an Aboriginal owned and controlled Labour Hire & Traffic Control company. Our team recruits and supports the highest calibre of Aboriginal & Torres Strait Islander skilled tradespeople, labourers, traffic controllers, and construction personnel for roles across Victorian Major Infrastructure projects.

The Administrative Assistant will provide high-level administrative and operational support to ensure the smooth running of the labour hire and traffic management divisions.

This role will work closely with the Traffic and Labour Hire Managers to deliver efficient, compliant, and professional workforce support.

Key responsibilities include:

  • Recruitment and onboarding of employees, including the collection, verification, and storage of all personal details and compliance documents (valid tickets, identification, certificates, registrations).
  • Manage the end-to-end onboarding of A2B Personnel's workforce. Ensuring all onboarding and induction processes are streamlined and meet company standards.
  • Maintaining and optimising the company's HR management software and document filing systems.
  • Supporting online inductions, data entry, and reporting for the operations team as required.
  • Complete all administrative requirements for the Operations Team, including data sharing, reporting.
  • Coordinate and support the Traffic and Labour Hire Managers with workforce placements.
  • Accurately complete project- and site-specific inductions using a variety of client induction portals.
  • Ensure compliance by maintaining clear, accurate, and accessible records of all HR administrative documents and employee files in CodeHouse and other relevant databases.
  • Consistently update and maintain the company's CRM to ensure accurate and current information is available for reporting, compliance, and operational efficiency.

  • High level of organisation skills is a MUST.
  • Ability to multi task and critical skill thinking
  • High level of computer literacy.
  • Experience using Microsoft & Google Applications in a business setting.
  • Attention to detail.
  • Work well both in a team environment and unsupervised.
  • Communicate effectively with remote working staff members.
  • Regular and consistent communication with Labour personnel & Traffic controllers
  • Effectively communicate with training organisations.
  • Time management and prioritise according to impact.

Education/Qualifications

  • Certificate in Administration, Human Resources, similar experience or qualification is desirable.
  • Mental Health First Aid Certification is desirable but not essential.

Experience

  • Ability to understand the demands of a labour hire and traffic business is highly desirable
  • Knowledge of recruitment and workplace health and safety policies and procedures
  • Experience in a similar position is highly desirable.
  • Experience working in a construction or labour hire environment or similar.
  • Fundamental and intermediate computer skills using programs including Microsoft office suite, online applications and recruitment databases.
  • Understanding of the employee life cycle for the Aboriginal and Torres Strait Islander Community
