An exciting opportunity awaits to join our National Action Rehab Network in our Administration team. As a Receptionist/Administrator, you will play a key role in managing communication and administrative support for our team. This role involves handling a high volume of calls, managing email inboxes, coordinating appointments, and assisting with patient records and other office tasks to ensure efficiency.

About the Company:

At Action Rehab, we are a leading provider of specialised care for Upper Limb Injuries.  Our team of Occupational Therapists and Physiotherapists are dedicated to helping individuals recover from injuries, surgeries, and chronic conditions. Our team of experienced therapists work closely with patients to develop personalised treatment plans that promote healing, improve mobility, and enhance quality of life.

We are currently looking for a detail-oriented and efficient Receptionist/Administrator to join our team and ensure the smooth operation of our clinics.

Key Responsibilities:

  • Answer a high volume of incoming phone calls and direct them appropriately.
  • Monitor and manage email inboxes, responding to patient inquiries and forwarding messages to relevant team members.
  • Schedule appointments and ensure accurate patient information is recorded.
  • Maintain patient records with confidentiality and accuracy.
  • Assist with processing patient payments and managing billing inquiries.
  • Handle general administrative tasks such as filing and data entry.
  • Support the healthcare team with necessary documentation and follow-up communication.
  • Ensure smooth operations by managing appointment confirmations and reminders.

Skills & Experience Required:

  • Strong communication skills, both written and verbal.
  • Experience managing high volumes of phone calls and email correspondence.
  • Excellent organisational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Prior experience in an administrative or customer service role, ideally in a healthcare setting.
  • Ability to multitask, work independently, and prioritise tasks effectively.
  • Professional, courteous, and focused on delivering a high standard of service.
  • Ability to maintain patient confidentiality
  • Knowledge of allied health practices, private health rebates, and Workcover claims is advantageous but not essential.
  • Thrive in a fast-paced environment
  • Must have the right to work in Australia with no restrictions.
