Executive Assistant to CEO

About the Role

We're looking for a hands-on, proactive, and personable Executive Assistant to support our CEO. This is not a "stuffy corporate" EA role — you'll be partnering with a down-to-earth and approachable leader who values trust, efficiency, and good humour. The role is office-based in Alexandria (with onsite parking), but when the CEO is travelling, which is often, you'll have the flexibility to work from home.

The ideal candidate will be someone who thrives in a busy but friendly environment, can take initiative, and enjoys keeping everything running seamlessly behind the scenes.

Key Responsibilities

  • Diary & inbox management:
    Keep the CEO's calendar and communications clear, organised, and prioritised so nothing slips through the cracks.
  • Meeting preparation:
    Arrange, prepare, and follow up on internal and external meetings to ensure the CEO is always prepped and outcomes are achieved.
  • Travel coordination:
    Work with our travel provider to manage domestic and international travel, ensuring itineraries and logistics are spot on.
  • Stakeholder liaison:
    Act as the first point of contact, representing the CEO with professionalism, warmth, and efficiency.
  • Document management:
    Draft, proofread, and coordinate reports, board papers, and correspondence as needed.
  • Event support:
    Assist with the organisation of company events, functions, and CEO-hosted activities.
  • Administration:
    Manage expenses, process invoices, and maintain filing and documentation systems.
  • Project support:
    Assist with ad-hoc projects and initiatives, working cross-functionally with the wider business.
  • Confidentiality:
    Handle sensitive and confidential information with the utmost discretion.
  • General support:
    Provide broader office and administrative support when required to ensure smooth day-to-day operations.

What We're Looking For

  • Solid EA experience supporting a CEO or C-level executive.
  • Tech-savvy across Microsoft Office, Google Suite, and comfortable picking up new systems.
  • Strong organisation, prioritisation, and problem-solving skills — able to juggle multiple demands without breaking stride.
  • Excellent communication skills, clear, direct, and professional.
  • A personable and approachable style, someone who builds trust easily with colleagues, clients, and stakeholders.
  • Agility and resilience, happy to adjust when schedules shift or priorities change.
  • A proactive mindset, you don't wait to be told, you step in and get it done.
  • Professionalism and discretion when managing sensitive matters.
