We are seeking a highly organised, proactive, and resourceful Executive Assistant (EA) to provide high-level support to both the CEO and General Manager (GM). This is a pivotal role, acting as the central point of coordination for executive priorities, ensuring communication flows seamlessly, and enabling the leadership team to operate at maximum efficiency.

The EA will manage complex schedules, streamline workflows, coordinate projects, and provide operational, financial, and administrative support across multiple functions. This role requires discretion, initiative, and the ability to manage competing priorities in a fast-paced and dynamic environment.

Key Responsibilities

Executive Support

●      Manage the CEO's and GM's calendars, inboxes, and communications – prioritising meetings, deadlines, and follow-ups.

●      Coordinate domestic and international travel arrangements, itineraries, and logistics.

●      Organise and coordinate all Senior Leadership meetings.

●      Prepare reports, presentations and agendas; capture minutes and drive action-item follow-up.

●      Maintain confidentiality with sensitive information and documents.

●      Act as the first point of contact for internal and external stakeholders.

Operational & Administrative Support

●      Support day-to-day office and business operations.

●      Oversee project tracking, internal reporting, and follow up on deliverables across teams.

●      Create and maintain trackers, systems, and documentation to streamline workflows.

Systems, Reporting & Data Management

●      Maintain CEO/GM task management systems

●      Assist management with preparation of weekly and monthly dashboards on KPIs (e.g., inventory, order fulfilment, finance, team priorities).

●      Ensure information is accurate, timely, and accessible for leadership.

Stakeholder & Team Engagement

●      Liaise confidently with both the leadership and wider team, as well as external partners.

●      Support communication across departments via Slack, email, and meetings.

●      Assist with internal updates, and follow-ups to ensure team alignment.

●      Help coordinate team events, workshops, and strategic planning sessions.

About You

You are a natural organiser, problem solver, and relationship builder. You thrive in a fast-moving environment, balancing multiple priorities while keeping attention to detail. You are proactive, solutions-focused, and bring both structure and flexibility to support two senior executives effectively.

Key Requirements:

●      Proven experience as an Executive Assistant, supporting senior leaders.

●      Strong calendar, inbox, and travel management skills.

●      Proficiency with Xero (invoicing, reconciliations, expenses).

●      Advanced Google Sheets/Excel and reporting skills; confident with data tracking.

●      Experience with , ClickUp, Asana, or similar project/task management systems.

●      Excellent written and verbal communication skills.

●      High level of discretion, professionalism, and sound judgement.

●      Ability to manage competing priorities across multiple time zones.
