Role Summary
We are seeking a highly organised and proactive
Executive Assistant (Office Manager)
to join a fast-growing
biofuels company launching in Australia
. This role goes far beyond traditional office management — it's an opportunity to work closely with the CEO on high-impact initiatives including establishing the company's first Sydney office, supporting board activities, and driving operational projects as the business expands.

Contract Summary

Responsibilities
- Provide high-level executive support to the CEO, including diary management, correspondence, and travel coordination
- Oversee the establishment and daily operations of the company's first Sydney office
- Prepare and manage documentation, presentations, and board materials
- Coordinate meetings, events, and executive communications with internal and external stakeholders
- Support business operations including procurement, facilities management, and vendor coordination
- Assist in managing key operational initiatives and business processes as the company scales
- Maintain confidentiality, professionalism, and a proactive approach in a fast-paced environment
Skills & Experience
- Minimum
5+ years' experience
as an
Executive Assistant, Office Manager, or Business Support professional - Proven experience supporting
C-level executives
or senior leadership in a dynamic, fast-growing environment - Strong organisational and multitasking abilities with attention to detail
- Excellent communication, presentation, and stakeholder management skills
- Proficiency in
Microsoft Office Suite
(Word, PowerPoint, Excel, Outlook) and collaboration tools - Ability to manage competing priorities and maintain composure under pressure
- Entrepreneurial mindset with a willingness to take initiative and "roll up your sleeves"
- Experience in
start-up or scale-up environments
