About the role
You will be the key touch point across all levels of the business, acting as a central connector who supports teams and leaders alike. We are looking for someone who has exceptional attention to detail and can consistently deliver high-quality, accurate work in a fast-paced environment.
What's essential to this role is strong communication skills and a genuine willingness to support all aspects of the business being adaptable, proactive, and an eagerness to learn new things as they arise.
You must also be confident with systems and able to pick them up quickly, as this will be a crucial part of your day-to-day responsibilities.
This role will be approximately 80% variable administration tasks and 20% supporting the People & Culture (P&C) function.
Responsibilities Include:
- Provide seamless support to the leadership team, managers and employees.
 - Assist with employee wellbeing and engagement initiatives.
 - Manage calendar coordination, organise local and international travel, coordinate logistics, and manage itineraries.
 - Manage online and other purchasing requests as part of facilities and office supply management.
 - Support all on-site event management, including room setup, catering coordination, and other associated logistics.
 - Manage invoice processes, including raising approvals, coding, and submitting for payment
 - Provide administrative support to the P&C team, including maintaining HR systems (HRIS and LMS) and assisting with onboarding and offboarding activities.
 - Prepare and maintain general P&C reports, track certifications to ensure they remain current, and follow up as required.
 - Manage centralised shared inboxes and ensure timely responses within agreed timeframes.
 - Assist with preparing, letters, mail merges, and other documentation as required.
 - Undertake other ad hoc duties as required.

About You:
- Minimum of 3+ years of experience as an Office Assistant and/or Administrator
 - Advanced Microsoft Office knowledge (Word, PowerPoint, Excel MS Project, Outlook)
 - Strong organisational and problem-solving skills
 - High degree of flexibility and multitasking ability
 - Strong solution focus and ability to work independently without any supervision
 - Ability to uphold a strict level of confidentiality
 - Strong interpersonal skills, ability to prioritise tasks, and collaborate with others to provide support to stakeholders
 - Proficient in time management and strong attention to detail
 - Excellent verbal, and written communication skills
 - Proven ability to be proactive, learn quickly and adapt to new software
 - Ability to take outside business hours calls to attend to urgent requests for information or assistance by stakeholders
 - Hold and maintain a valid Driver's Licence
