WRS Windows & Doors is a tight-knit, Australian-owned aluminium window and door manufacturer based in Castle Hill, Sydney. We proudly service residential and commercial clients across Greater Sydney and nationwide. With a small dedicated team, we pride ourselves on the quality of our products (primarily using the Darley KlassicView range or Aluminium Windows and Doors) and our mission to simplify the consumer ordering process.

We are looking for a highly organised, proactive, and customer-focused Office Administrator to be the backbone of our operations and the first point of contact for our valued clients.

The Opportunity

This is an incredibly diverse and vital role where you will manage the administrative flow of the business, directly supporting our management and manufacturing team. You're not just answering phones; you're coordinating logistics, managing client expectations, and ensuring the smooth journey of every order.

Your Key Responsibilities Will Include:

1. Customer & Sales Support

  • Frontline Communication: Answering phone calls, providing initial support for delivery updates, order status, and general queries.
  • Quote Generation: Obtaining essential product and delivery information from customers (window type, colour, glass, postcode, etc.) to prepare accurate quotations.
  • Customer Service: Managing order follow-ups, resolving initial complaints, and coordinating with management on more complex issues like transit damage.
  • Showroom Enquiries: Handling showroom location queries and ensuring all leads receive a follow-up written quote.

2. Logistics & Dispatch Coordination

  • Local Deliveries: Contacting customers to schedule and book local deliveries, ensuring all required paperwork (delivery dockets) is completed and passed to the factory floor.
  • Interstate Shipping: Utilising various online portals (Fast Courier, InterParcel, etc.) to source the most cost-effective shipping options for regional and interstate orders.
  • Shipping Management: Preparing and printing shipping labels, compiling consignment information, and emailing tracking details to clients.

3. General Administration

  • Managing incoming general inquiries (e.g., from sales/marketing companies) and directing them to the appropriate management team.
  • Maintaining an organised and efficient office environment.
  • Future tasks will include supporting the management team with supplier order placement (aluminium, glass, screws, etc.).
What You'll Need to Succeed
  • Proven experience in an Administration, Customer Service, or Logistics Support role.
  • An exceptional telephone manner with the ability to clearly and confidently communicate with customers and external transport companies.
  • High level of organisational skills and a keen eye for detail—you can manage multiple priorities without letting anything slip.
  • Confidence and proficiency in using online booking/courier platforms (or the ability to quickly learn new software).
  • A proactive and 'can-do' attitude; you see problems as opportunities to find a solution.
  • Experience in the building, construction, or manufacturing industry is a bonus but not essential.
