The Ai CoE's (AiCE) mission is enabling the accelerated delivery of exceptional customer experiences, deeper valuable relationships, increased scale and productivity, and profitable business outcomes with Ai.

The Advanced Analytics and Data (AAD) chapter-led teams' partner with the Business Product Houses to provide enhanced customer experience through delivery of Next Best Conversations & Hyper personalisation, building leading analytical solutions / a robust suite of business and regulatory dashboards to gain deeper insights into customer behaviour, drive business growth and provide frontline efficiencies.

The role will be primarily responsible for providing efficient, professional delivery of business and administrative support to two General Managers (GM).

Do work that matters

As an Executive Assistant within the AiCE and AAD teams, you will support both GMs and provide assistance to their teams on a regular basis. You will be responsible for managing day to day activity, organise travel and HR support, coordinate events, provide assistance with planning, and manage actions and issues closure on behalf of the leadership team. You will coordinate with other EAs within the team on a regular basis.

  • Provide efficient and professional delivery of administrative and business support
  • Provide diary and inbox management – scheduling meetings, managing correspondence and ensuring an efficient use of their time
  • Assist in meeting preparation, such as any packs or materials that are available for review prior to meetings
  • Coordinate internal/external meetings with clients/stakeholders – including liaising with other EAs and arranging meeting room bookings
  • Draft, proofread and manage communications on behalf of GM's, including emails, announcements, newsletters and presentations
  • Assist with onboarding new team members and coordinating offboarding processes, including equipment, access and documentation
  • Arrange events/functions/off-sites/team building events, including catering where required
  • Participate in meetings and coordinate agendas, actions and tracking
  • Coordinate international and domestic travel arrangements
  • Process financials, including expenses and invoices and appropriate approvals

Other qualities you may possess include

  • Previous Executive Assistant experience supporting similar leadership teams
  • Superior skills in Microsoft Office suite
  • The ability to work in a fast-paced environment - manage workflow, priorities, work well under pressure and be flexible
  • High level of pragmatic professionalism and strong communication skills – verbal and written
  • Strong events, planning, prioritisation and organizational skills
  • Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service
