The Role
Modoras is seeking an experienced and highly organized Executive Assistant in a full-time, on-site role, located in our Martin Place (Sydney CBD) office.
In this role you will provide high-level administrative, coordination, and operational support to the General Manager and wider Shared Services function. This role ensures the effective delivery of executive priorities, assists in managing internal communication and workflow, and contributes to improving efficiency across HR, Finance, and Operations.
Responsibilities:
Executive Support
- Provide high-level administrative support to the General Manager, including calendar management, meeting coordination, and travel arrangements.
- Prepare agendas, take minutes, and coordinate briefing materials for leadership meetings and stakeholder engagements.
- Draft, review, and edit correspondence, reports, and presentations with precision and professionalism.
- Manage incoming communications, prioritising matters requiring the General Manager's attention.
- Maintain confidentiality and ensure the smooth and efficient day-to-day operation of the executive office.
Shared Services Coordination
- Support HR-related administration including staff communications, onboarding documentation, and training coordination.
- Assist with finance administration such as expense reconciliation, supplier invoice processing, and purchase order management.
- Liaise with Shared Services teams across Australia and India to ensure alignment on deliverables, process consistency, and timely reporting.
- Coordinate office initiatives, projects, and internal engagement activities as required.
Operational & Process Support
- Assist in the preparation of management and board reports, tracking deliverables and ensuring data accuracy.
- Maintain document control, recordkeeping, and version management across systems such as SharePoint and Teams.
- Contribute to continuous improvement by identifying and implementing efficiency opportunities in workflow, automation, and reporting.
Stakeholder & Project Coordination
- Coordinate cross-functional projects and maintain progress reports for key initiatives.
- Liaise with internal and external stakeholders to ensure clear communication and timely delivery of actions.
- Support company events, employee initiatives, and leadership communication programs.
What you'll bring
- Prior experience in an Executive Assistant, Office Manager, or senior administrative role.
- Demonstrated experience supporting senior executives in a professional services or corporate environment.
- Highly developed organizational and multitasking skills, with the ability to manage competing priorities and deadlines.
- Exceptional written and verbal communication skills with a polished, professional manner.
- High attention to detail, accuracy, and discretion when handling sensitive or confidential information.
- Intermediate to advanced proficiency in Microsoft 365 (Outlook, Excel, PowerPoint, Word, Teams).
- Exposure to HR, Finance, or ERP systems (e.g. NetSuite, SAP, or Dynamics 365) will be highly regarded.
- Ability to work autonomously, demonstrate initiative, and anticipate business needs.
Qualifications
- Certificate or Diploma in Business Administration or related discipline (preferred).
- Additional training in project coordination, HR administration, or finance support desirable.
