Aje Collective invites you to be a part of this new era as we have an exciting opportunity for a part-time Office Coordinator to join our Head Office Team.
The Office Coordinator must be able to demonstrate strong administration and organisational skills, be systems-orientated and customer service focused. You will understand the importance of being the face of the brand on many occasions, from greeting external parties for meetings and acting as the key contact for many vendors that support our office environment. You will thrive in an autonomous environment and will be happy to put on your proactive thinking cap regarding new systems and solutions that will help increase efficiency within our office spaces.
- Part-Time Hours: 2-3 days per week (With potential to do a rotating roster)_
**As a Office Coordinator, your tasks will include**:
- Overseeing the office environment to implement office procedures that improve efficiency and flow
- Meeting management including meeting and greeting clients and meeting room set-ups
- Maintenance of the various office calendars and booking processes, across Google Suite and Slack
- Managing in-bound and out-bound post and couriers
- Supporting the People & Culture Specialist with the organisation of team culture initiatives, including birthday gifts, monthly drinks, Lunch & Learn, end of year celebration and various conferences
- Creating and circulating internal communications around office events and office maintenance updates
- Managing the office expense budget
**You will bring**:
- Experience working as an Office Coordinator in a busy and growing business
- Ability to liaise across the full spectrum of administrative services and relate positively to a wide range of people
- Excellent communication, negotiation, organisational and time management skills
- Demonstrated knowledge and experience of managing office budgets
- Experience using Adobe and Microsoft Suites
- A positive track record in working closely and positively with team members at all level
- Ability to continuously identify opportunities for improvement
- Flexible approach to all tasks to accommodate shifting timelines and priorities
