Pollen is one of the leading digital business and product design studios in Sydney. We are digital business designers. We help our partners create the products and services that their customers love.
**What are we looking for?**
We are seeking a vibrant Office Coordinator to assist us in streamlining our digital product studio operations. You’ll be super positive, greet our diverse yet awesome client base with a smile, hell, maybe even get them a drink.
You will have exceptional customer service and teamwork skills that enable you to build and maintain strong and effective working relationships. You will also be highly organised, detail oriented, able to multitask and take pleasure in helping any visitor or employee.
Punctuality will be your strong suit, you’ll understand what is happening in the office day to day and ensure meetings, workshops and good times are facilitated with aplomb.
You will thrive on learning new things, positively contributing and keep evolving your role to support the needs of the studio.
You’ll possess great written and oral communication skills, and ideally be very good with people and enjoy all things modern culture.
**Role responsibilities;**
- Managing the meeting room schedules and bookings, including, setting up with appropriate facilities for the next meeting, water, glasses, workshop materials, whiteboards. etc
- Ensure all common areas are clean, presentable, safe and maintained at all times (eg. general office and kitchen tidy as required)
- Order stationary and office supplies and ensure stocks are replenished
- Occasionally organise catering for client meetings, workshops
- Keep our green friends well nourished and in good order
- Act as a point of contact for facilities management and communicate the status of any issues
- Assist our producer team in documenting client workshop meetings and populating these outputs into digital channels
- Provide administrative assistance to the Directors and Production team in support of a smooth business operation
- User Testing - Assist our team of producers in user testing our wonderful work, to ensure it actually is wonderful
**Requirements;**
To be considered, you’ll have the following skills & experience
- Ideally a minimum 1+ years prior experience of a similar role
- Strong time management and organisational skills
- Outstanding interpersonal and written communication skills
- Strong initiative and a proactive and flexible approach to work
- Office management, administrative or assistant experience
- Ability to multitask and prioritise work
- Attention to detail and problem-solving skills
