Job Description

The Personal Assistant supporting the Executive Vice President and Vice President(s) of HR at Shell should be confident and initiative-taking in managing diverse stakeholders and management activities.

Key Responsibilities:

  • Provide effective, efficient, and proactive administrative support to the Executive Vice President and Vice President(s) of HR.
  • Manage and maintain efficient diaries through thoughtful and effective planning and prioritization; coordinate and arrange internal and external meetings and associated logistics.
  • Coordinate and ensure receipt of relevant briefing papers for forthcoming meetings or travels.
  • Develop and maintain connections to various Leadership Teams and their assistants - arrange dates and logistics for leadership team meetings, monthly meetings, staff engagement events, including leadership of webcasts, office management, etc.
  • Arrange detailed and accurate logistics for forthcoming travels including proactive and timely arrangements in an efficient manner.
  • Submit expense claims on behalf of both leaders and manage and maintain a record of those expense claims.
  • Liaise with a wide variety of internal and external stakeholders, managing competing priorities and working closely with other Executive PAs.
  • Facilitate timely payment of all invoices received and assist with management of 3rd party spend.
  • Send out approved communications on behalf of the Executive Vice President.

Requirements:

  • English language level at C1.
  • Substantial experience as an Executive/Personal Assistant in a multinational, complex organization.
  • Experience in collaboration with senior stakeholders (EVP, VP, CEO).
  • Ability to multi-task, prioritize, and manage high workload to tight timelines.
  • Flexible mindset to adapt to changing business needs.
  • A prominent level of people skills and teamwork.
  • The ability to identify problems and decide on the best solution.
  • The ability to effectively communicate with a wide range of people in diverse ways.
  • The ability to work independently.
  • The ability to clarify complex information, both written and verbal.
  • PC literacy: Experienced in MS Office applications and ability to quickly gain competence in other IT software.
  • Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence, and events.
