About the Role

Chandler Macleod is seeking a highly skilled and experienced Executive Assistant to join our team in a strategic operations role. As an EL1 Executive Assistant, you will provide high-level executive and project coordination services to the Chief People Officer and the broader sections of the People Branch.

Key Responsibilities
  • Workflow Management: Proactively manage workflow through the office of the Chief People Officer, including providing analysis, advice on context, and coordinating necessary follow-up to ensure priorities and deadlines are met.
  • Communication and Correspondence: Act as the primary point of contact for the office of the Chief People Officer, independently responding to routine, sensitive, or urgent agency matters with ease. Produce correspondence and communications materials on behalf of the Chief People Officer to support the promulgation of critical agency messages and priorities.
  • Meeting Coordination: Attend meetings with the Chief People Officer and/or other directors of the People Branch to assist with actions arising relating to enabling services delivery during preparation for upcoming electoral events.
  • Relationship Management: Develop and actively manage key internal and external relationships, including collaborating with stakeholders to identify opportunities, achieve outcomes, and facilitate cooperation. Represent the branch in various forums.
  • Advice and Guidance: Provide high-quality and timely advice internally and externally, including guidance and reporting to the leadership of the People Branch, including Senior Executives, in relation to functional responsibilities.
Requirements
  • Strategic Management: Sound knowledge and experience in successfully managing, coordinating, and delivering results within time restraints and with competing priorities.
  • Communication and Negotiation: Proven ability to communicate with influence, negotiate strategic outcomes, and manage strategic stakeholder relationships on behalf of the Chief People Officer and People Branch.
  • Conceptual and Analytical Abilities: Proven strategic conceptual, advisory, and analytical abilities with sound knowledge of change management practices and techniques to enable innovation.
  • Leadership and Project Management: Demonstrated ability to lead and manage staff within People Branch while developing capabilities and embedding professionalism. Manage projects, including planning project timelines, establishing delivery milestones, setting and allocating key deliverable items, and managing stakeholders to meet critical deadlines.
  • Personal Qualities: Demonstrated personal drive, integrity, trust, and discretion while achieving results within legislative and budget parameters.
