Job Overview

We are seeking a highly organized and detail-oriented Program Coordinator to join our team in Sydney. The successful candidate will be responsible for coordinating multiple projects and programs concurrently, ensuring seamless execution and delivery.

Key Responsibilities
  • Coordinate project meetings, book rooms, and organize workshops, including venue selection, agenda setting, material collation, and minute-taking.
  • Assist Portfolio Manager, Program Managers, and Project Managers with resource scheduling, including onboarding and offboarding activities.
  • Create and maintain standard reporting packs for Steering Committees, Sponsor meetings, and Executive Committee working groups, supported by Project Managers.
  • Manage the flow of invoices and Statements of Work (including DEFs), ensuring costs are allocated correctly to projects.
Requirements

To be successful in this role, you will have:

  • Tertiary education in a relevant discipline or equivalent experience.
  • Demonstrated administrative background in a fast-paced environment.
  • Experience coordinating multiple projects or programs concurrently, with budgets above $10M.
  • Superior attention to detail and organizational skills.
  • Excellent communication and stakeholder engagement abilities.
