About Us?

The Institute for Urban Indigenous Health Ltd was established by its founding members to provide a coordinated/integrated approach to the planning, development and delivery of comprehensive primary health care services for Aboriginal and Torres Strait Islander populations within the Southeast Qld Region.

Staying Deadly|headspace Deception Bay provides early intervention mental health services to young people aged 12-25 supporting them with mental health, physical health (including sexual health), alcohol and other drug services, as well as work and study support. As part of the headspace National Youth Mental Health Foundation network, it provides young people and their families with support at a crucial time in their lives and helps to get them back on track and strengthen their ability to manage their mental health in the future.

About the Role?

The Administration Support Officer is responsible for the provision of efficient administration and service coordination to contribute to the objectives of the Staying Deadly|headspace Deception Bay service to provide responsive support for mob seeking mental health care. The day-to-day responsibilities include service coordination, transport coordination, patient appointments, and coordination of case conferences.

Day to Day Duties Include:

  • Perform with limited supervision a broad range of administrative support functions including organising forms, photocopies, files, orders, program materials and educational handouts; and make reminder calls for visits as requested.
  • Maintain accurate and confidential records and statistics of daily activities.
  • Support an environment that fosters teamwork, cooperation, respect, and diversity.
  • Establish and maintain positive communication and professional demeanor with staff and young people and/or families at all times.
  • Assume responsibility for ensuring efficient and productive use of calendars.
  • Coordinate room bookings.
  • Ensure all core and visiting providers are set up in prescribed recording and reporting systems.
  • Work closely with local manager, key local support staff and Outreach providers to assist in trouble-shooting issues which may arise in the course of service delivery.

  • Computer and word-processing skills that demonstrate your experience in using MS Office package (Word, Excel), Email and use of patient information/recall database systems.
  • Demonstrated ability to prioritise and organise workload with a high attention to detail demonstrated.
  • Experience working in a multidisciplinary clinic environment.
  • Previous experience working with an electronic Patient Management System.
  • Knowledge and understanding (or ability to rapidly acquire knowledge and understanding of) the Australian Medicare Benefit Schedule (MBS).
  • Current Blue Card (Or willing to obtain)
  • Current Criminal History Check (Or willing to obtain)

Desirable, but not mandatory:

  • Demonstrated experience working with Aboriginal and Torres Strait Islander people and /or communities
