What You Will Get To Do:
Executive Support
- Manage and prioritize the Head of Sales' calendar, scheduling meetings across multiple time zones and ensuring seamless coordination.
- Screen calls, emails, and correspondence to streamline communication and ensure timely follow-up on key business issues.
- Organize international and domestic travel arrangements, including flights, accommodations, and visas, maintaining up-to-date records of travel documentation.
- Prepare and distribute meeting agendas, materials, and presentations; document minutes and action items for follow-through.
- Process and reconcile travel and expense reports, adhering to company policies and highlighting potential exceptions.
Sales Operations
- Collaborate with regional sales leaders to support APAC business plans and projects, ensuring timely execution and delivery of objectives.
- Assist in resolving operational challenges, including cross functional coordination, and sales reporting.
- Support event planning, from venue selection to budget management, for sales meetings and thought-leadership initiatives.
- Attend sales leadership meetings, including overseas travel 3-4 time per year.
Cross-Regional Collaboration
- Provide administrative support for global and regional leadership meetings, including logistics, document consolidation, and on-site coordination.
- Actively monitor urgent communications across time zones and ensure timely response to critical matters.
- Identify opportunities to optimize processes, enhance team collaboration, and drive operational excellence.
What You Will Bring:
- Bachelor's degree or equivalent experience preferred.
- 5+ years of experience as an Executive Assistant
, ideally supporting a sales organization or leadership team in a fast-paced environment. - Proven ability to work autonomously with sound judgment, maintaining strict confidentiality.
- Strong organizational skills, with the ability to manage multiple priorities and tight timelines.
- High Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint).
- Excellent written and verbal communication skills, with a professional demeanour and interpersonal finesse.
- A proactive, problem-solving attitude and a keen eye for detail.
