The opportunity
We are seeking a proactive and detail-oriented
Project Procore Administrator
to join our team in Rydalmere, NSW, supporting major infrastructure and engineering projects.
This role offers a part-time opportunity of 20 hours per week, providing maternity leave coverage for a period of 9 months.
Responsibilities
In this role, you will be responsible for managing and maintaining all project documentation, workflows, and records within Procore. You'll play a key role in ensuring data integrity, compliance, and seamless communication between project, site, and commercial teams. Additional responsibilities include:
- Setting up and administering Procore modules including RFIs, Submittals, Transmittals, Drawings, Change Events, Progress Claims, and Budgets
- Controlling and distributing drawings, specifications, and QA documentation with version control and register maintenance
- Preparing and issuing meeting minutes, reports, and lookahead schedules
- Coordinating with subcontractors and suppliers for documentation, approvals, and progress updates
- Supporting Project Managers and Engineers in cost tracking, purchase orders, and variation management
- Ensuring compliance with quality, safety, and environmental procedures through Procore (inspections, NCRs, checklists)
- Uploading and managing test results, inspection records, and handover documentation
- Assisting in preparing financial and progress reports; reconciling budgets and commitments
- Maintaining clear and consistent communication across all project teams
About You
You bring strong communication skills and a collaborative mindset, with a passion for driving project excellence through smart systems and processes.
- Proven experience in project administration or document control within construction or engineering
- Advanced proficiency in Procore, especially Financials, Quality & Safety, and Documents modules
- Strong attention to detail and ability to manage multiple priorities
- Familiarity with construction workflows and terminology
- Excellent interpersonal skills and a team-first attitude
