We're a progressive hospitality group on an exciting growth journey — expanding our design and construction pipeline across multiple venues, from boutique motels to iconic pubs, gaming spaces, and premium F&B venues.

Our design and development team brings creativity, energy, and innovation to everything we build, and we're looking for an organised, detail-driven Design Administration Coordinator to help bring our next generation of venues to life.

THE OPPORTUNITY

This newly created role is all about coordination, structure, and connection.

You'll be the operational backbone of the design team — managing documentation, logistics, and supplier communication so our designers and project leads can focus on strategy and creativity.

Working closely with internal teams, contractors, and suppliers, you'll ensure every project runs smoothly — from approvals and procurement through to installation and handover.

WHAT YOU'LL DO

  • Manage documentation & approvals: oversee design and construction document flow, track drawing revisions, and maintain clear version control.
  • Coordinate suppliers & procurement: raise and track purchase orders, liaise with freight and logistics partners, and monitor supplier compliance.
  • Support site logistics: schedule trades and deliveries, manage FFE inventories, and prepare materials and documentation for installs.
  • Track budgets & timelines: assist with budget reporting, monitor schedules and milestones, and flag delays or risks early.
  • Keep communication flowing: act as the link between design, operations, suppliers, and venue managers — keeping everyone aligned and informed.

WHAT YOU'LL BRING

  • Solid background in administration or project coordination, ideally in design, architecture, construction, or hospitality.
  • Exceptional organisational skills — you thrive juggling multiple moving parts.
  • A confident communicator who builds trust with suppliers, contractors, and managers.
  • Strong Microsoft Office skills (Excel proficiency a must); exposure to CAD or Adobe is a plus.
  • A solutions-focused mindset and sharp attention to detail.
  • Flexibility to travel between metro Sydney and regional NSW venues as needed.
