With rapid growth underway, we are seeking an experienced and highly organised Executive Assistant to support our Founder/CEO. This is a career-defining opportunity to play a pivotal role at the heart of a scaling, high-profile business.

Role Overview

As Executive Assistant, you'll be the operational backbone to the Founder/CEO — ensuring time, communications, and priorities are managed seamlessly. This role goes beyond classic EA duties; you'll also support sales follow-up, project delivery, events, and stakeholder engagement, while helping to build internal systems that drive efficiency and growth.

This role suits a seasoned professional who thrives in a fast-paced environment, demonstrates impeccable discretion, and has experience supporting senior leaders in PR, marketing, fashion, events, or luxury industries.

Key Responsibilities
  • Full executive support including calendar, inbox, scheduling, travel, and expenses
  • Act as gatekeeper for the Founder/CEO, prioritising commitments and managing workflows
  • Draft, review, and prepare correspondence, reports, and presentations
  • Prepare agendas, briefing packs, and manage follow-ups from meetings
  • Coordinate domestic and international travel, events, and activations
  • Manage sales and client follow-ups, invoicing, and reporting processes
  • Oversee and coordinate strategic projects end-to-end, tracking progress and ensuring deadlines are met
  • Liaise with clients, talent, and stakeholders on behalf of the Founder/CEO
  • Mentor and manage a Coordinator, building accountability across the team
  • Develop and maintain systems, SOPs, and processes for operational efficiency
  • Ensure confidentiality, discretion, and compliance at all times
About You

We're looking for someone who is not just capable but thrives under pressure — a mature, proactive operator with a solutions-first mindset.

Requirements:

  • 3+ years' experience as an EA to C-suite, Operations Manager, or Chief of Staff (agency, PR, marketing, fashion, luxury background highly regarded)
  • Demonstrated experience in project coordination or project management

    Exceptional organisational and time management skills
  • Strong written and verbal communication with a proven ability to draft professional correspondence
  • Proficiency across Google Workspace, Excel & Canva (experience with Project Management software, HubSpot, Shopify, Calendly is a bonus)
  • High attention to detail and strong data/numerical accuracy
  • Confidence liaising with high-profile clients and stakeholders
  • Resilient, thick-skinned, and able to manage competing demands with professionalism
