We are seeking a capable and proactive
Executive Office Assistant
to support our Executive Office in a fast-paced, high-impact environment. This is a unique opportunity at the heart of a fast-paced organization, working closely with senior leadership and contributing to both strategic and operational success.
The Role
This role is suitable for entry-level candidates who aspire to work in an impactful and fast-paced environment. The ideal candidate must be a natural relationship builder who communicates with clarity and handles sensitive information with the utmost integrity and professionalism.
Key Responsibilities
- Manage calendars, coordinate travel arrangements, and schedule meetings with efficiency and foresight.
- Prepare reports, briefing notes, and PowerPoint presentations.
- Oversee and prioritize CEO's inbox and incoming correspondence, drafting responses and keeping the CEO briefed.
- Maintain track of deliverables and correspondence, ensuring timely follow-up and resolution
- Liaise effectively with internal and external stakeholders
- Manage filing systems and document registers, ensuring confidentiality and organization-wide record integrity.
- Schedule and attend meetings, take meeting minutes
- Provide ad hoc support to the broader leadership team at key events, such as business dinners, promotional launches, and national dealer visits.
- Stay attuned to all matters concerning the Executive Office
About You
- Mandarin language proficiency is highly regarded
- Previous experience supporting senior executives is preferable
- Proficiency in Microsoft Office Suite
- Good organizational and time management skills
- Strong written and verbal communication skills
- Takes full ownership of responsibilities and demonstrates accountability.
- A team player who collaborates effectively across all levels of the organization
- Open to feedback and continuously strives for improvement
