We are looking for an office administration person, with good all round skills, working in the head office you will be assisting the finance, human resources and operations team in the day to day running of the business. You will be working in a hybrid role, working closely with the rest of the team to assist in a variety of tasks and responsibilities in a fast growing and entrepreneurial business.

The Role:

Job Summary: With CMS, you will join the head office team and take a crucial role in the finance and operations department. Your role will be to ensure the accurate processing and payment of accounts payable transactions, maintaining the financial health and compliance of the business. Additionally, you will handle various administrative duties, including booking travel, managing reception, catering, diary management, and helping with onboarding new starters. You will have the opportunity to collaborate with the leadership team, finance, technology, and operations teams on various projects to drive business performance.

About the Role

As our Office Administrator, you'll play a central role in keeping our operations running efficiently and supporting several business functions including finance, HR, and general operations. You'll be working closely with our leadership team and gaining exposure to all parts of the business.

This is an ideal role for someone who is hands-on, proactive, and enjoys problem-solving and multitasking in a fast-moving environment. You'll be given space to grow, contribute ideas, and take ownership of your work.Key Responsibilities:

Finance & Accounts Support

  • Process and code supplier invoices, prepare payment runs, and maintain accurate accounts payable records.
  • Assist with monthly expense reconciliations and support internal finance processes as required.
  • Data management, updated reports and weekly and monthly client reporting on projects, pilots and client management reporting as required.

HR & People Support

  • Support onboarding and offboarding, maintaining employee records, forms, and compliance documents.
  • Assist with recruitment activities such as interview scheduling and candidate communication.
  • Help coordinate team activities, training sessions, and HR policy updates, position descriptions and other hr recruitment activities as and when required.

Operations & Admin

  • Book travel, accommodation, and prepare itineraries for team members across multiple locations.
  • Maintain company calendars, meeting schedules, and provide general diary management support.
  • Manage supplies, equipment, subscriptions, and oversee the smooth running of day-to-day office operations.
  • Support operational systems, entering referral and help improve internal processes for efficiency and consistency.
  • Assist with workplace health and safety administration and reporting obligations.

General Support

  • Be the first point of contact for general queries and internal administrative requests.
  • Support executive leadership with ad-hoc administrative tasks, reporting, and project coordination.
  • Maintain digital filing systems, document templates, and internal communications processes.
  • Partner with the business to provide support and assist management in delivering key financial reports.

About You

You're highly organised, proactive, and enjoy working across different areas of a business. You have a can-do attitude, strong attention to detail, and pride yourself on reliability. You should possess excellent communication and customer service skills with the ability to work collaboratively in a team environment and be highly organised with exceptional attention to detail. Experience in accounts payable within an Australian commercial business environment is highly regarded. Additionally, you must have the ability to adapt to business demands with agility, along with a proactive approach to identifying and implementing process improvements.
