Administration Officer
We are seeking a proactive and detail-oriented Administration Officer to provide comprehensive administrative support across the organisation. This role will report directly to the Human Resources Manager and will play a critical part in ensuring the smooth and efficient operation of daily office functions, reception duties, site maintenance, and coordination with internal departments and external contractors.
Key Responsibilities:
- Greet and assist visitors and guests in a professional manner
- Answer and direct phone calls and emails
- Manage the reception area to ensure a welcoming and professional environment
- Manage day-to-day administrative tasks
- Maintain office supplies and replenish stationery as required
- Support departments with administrative needs and coordination tasks
- Monitor and report maintenance issues
- Liaise with contractors and manage scheduled maintenance activities
- Ensure the office premises are well-presented, clean, and safe
- Handle incoming and outgoing mail and courier services
- Process and track online orders
- Verify staff time and attendance records
- Assist in maintaining accurate attendance data
- Organise and coordinate meetings and internal events
- Prepare meeting rooms, documentation, and refreshments as required
- Maintain and update administrative files, records, and documentation
- Ensure data accuracy and confidentiality
- Perform additional administrative tasks as required
- Provide flexible support across all departments as needed.
Key Requirements:
- Previous experience in an administration or office support role
- Excellent communication and interpersonal skills
- Strong organisational and time management abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to multitask and work effectively under pressure
- Attention to detail and a proactive attitude.
Desirable:
- Experience in contractor or facilities management
- Familiarity with online order systems and courier platforms
- Basic knowledge of time and attendance systems.
