About the role

Tropical Queensland ENT is seeking a skilled and experienced Medical Receptionist-Administration to join our team in Townsville, QLD on a maternity contract basis. In this essential role, you will be responsible for providing exceptional customer service and efficient administrative support to our busy specialist practice. As the first point of contact for our patients, you will play a vital role in ensuring a positive experience.

What you'll be doing

  1. Greeting and welcoming patients to the practice in a friendly and professional manner
  2. Handling patient enquiries, scheduling appointments, and managing the patient booking system
  3. Maintaining accurate patient records and ensuring confidentiality of all patient information
  4. Billing & administering patient accounts including claiming accounts to Medicare, DVA & Private Health Funds
  5. Booking surgical procedures co-ordinating with the anaesthetist and hospital
  6. Contacting other health professionals to ensure all required patient reports and correspondence is available in a timely manner for patients' appointment &/or surgery.
  7. Efficiently answering phone calls and emails, triaging enquiries and ensuring prompt responses.
  8. Providing general administrative support, including filing, photocopying, and data entry
  9. Monitoring stock levels and ordering necessary supplies, from medical consumables to general office items.
  10. Ensuring all areas of the suite are clean, safe, and presentable and that equipment is functional and up to date.
  11. Some light handling of medical instruments and cleaning equipment
  12. Comfortability contacting & working with remote staff

What we're looking for

  1. Proven experience as a medical receptionist or in a similar customer service-oriented role within the healthcare industry
  2. Strong administrative and organisational skills with excellent attention to detail
  3. Proficient in using medical practice management software and Microsoft Office applications
  4. Excellent interpersonal and communication skills, with the ability to interact with patients, clinicians, and other staff members
  5. A friendly, professional, and empathetic demeanour, with a commitment to providing high-quality customer service
  6. Knowledge of medical terminology and healthcare regulations is highly desirable
