Job tasks and responsibilities

The successful applicant will demonstrate a high level of integrity, honesty & ethics; dedication to being client orientated with a desire to exceed client expectations and provide exceptional service; the capacity to deliver services in a professional manner whilst incorporating personality, flair and friendliness; a keen eye for detail and accuracy;

Work hours are 8.30am to 5pm Monday to Friday, we close down between Christmas and New Year. Days are allocated as annual leave where applicable. We are currently seeking a candidate with the ability to commit to full-time hours.

The role will encompass a mixture of administration, client services and Reception relief. The successful candidate will provide support to our director, business manager and a continuously growing team of accountants and bookkeepers.

Examples of the types of activities you will be performing are:

Client Services:

The role will provide you with a high degree of variety. Your daily tasks will include, but no be limited to:

  • Follow up client queries on behalf of the accountant team
  • Contact the ATO to arrange payment plans, interest & fee remissions, and lodgement extensions
  • Complete ASIC works such as change of directorship or shareholdings
  • Complete Company and Trust Set Ups
  • Follow up client's signature & return of tax related documents
  • ATO Lodgement Reconciliations
  • Complete Client On-boarding activities

Know how to do the following for relief of Reception when they have either a specified day off or Annual Leave

  • Answer phone and take messages or redirect as appropriate
  • Greeting guests and clients who visit the office in a friendly and professional manner
  • Maintain office presentation and cleanliness
  • Invoicing & follow-up debtors
  • Scanning and filing documents (both physically & electronically)
  • Collating Financial Statements and Tax Returns for Client Meetings
  • Collating Trust Deeds & Company Documents
  • Collect mail, scan, file & redirect as appropriate
  • Compile Client Profiles and Maintain Structure Charts
  • Process ASIC Renewal Invoices, Prepare Client Letters and Follow-Up
  • General administration duties

About You

  • Bubbly, attentive, common sense, supportive, professional manner, attention to detail.
  • It would be advantageous but not essential if you have prior experience in a tax accounting or book-keeping firm and are already familiar with the language and terminology that is used.
  • You should be highly organized and be able to prioritise tasks.
  • You must be able to communicate (verbally and written) professionally and speak fluent English.
  • A high level of attention to detail is required for all tasks.
  • Proficient in MS Office skills (Word, Outlook Excel, etc).
  • A positive outlook and general interest in helping people.
  • An ability to show resilience and a "can-do attitude" in a busy and high-paced environment is a must
