We're looking for an Administration Officer – People & Rostering Coordination to join our Operations Team. You'll play an essential part in ensuring our services are staffed, rosters are efficient, and our workforce information is accurate and compliant.

The role

This position sits at the heart of the Operations Team. You'll coordinate daily staffing needs, support rostering workflows, and keep workforce data and records in great shape. You'll also work closely with People & Culture and our Services to support smooth onboarding, compliance, and consistent communication across the organisation.

No two days will look the same. You may start your morning helping fill urgent staffing gaps, spend the afternoon refining rosters, updating employee records, coordinating recruitment tasks, or supporting longer-term workforce planning. Your work ensures our services run safely, reliably, and in line with Jabiru's commitment to high-quality, inclusive care.

What you'll be doing

Staffing & Rostering Coordination

  • Ensure daily staffing coverage across services
  • Work with Service Managers to redeploy staff and resolve gaps
  • Escalate unfilled or complex staffing issues when needed

Operations & HR Administration

  • Maintain accurate employee records, contracts and compliance documents
  • Support leave tracking, staff movements, and credential checks
  • Provide accurate data entry to support payroll and rostering systems

Recruitment & Onboarding Support

  • Assist with advertising, screening and interview coordination
  • Ensure onboarding documentation and pre-employment checks are completed

Agency & Inclusion Support Coordination

  • Review and track agency staffing requests and costs
  • Maintain accurate Inclusion Support Funding data and process claims

Collaboration & Continuous Improvement

  • Work closely with Operations and People & Culture teams
  • Look for ways to improve workflows, systems and communication

About you

You'll thrive if you are:

  • Highly organised with strong attention to detail
  • Experienced in administration, rostering, workforce coordination or similar roles
  • Skilled in Microsoft 365 and comfortable working with data
  • A strong communicator who builds positive relationships
  • Able to juggle multiple priorities and meet daily deadlines
  • Professional and confident handling sensitive information
  • (Bonus) Familiar with education, childcare, community services, HR or payroll systems
