The Role
You'll be the operational heartbeat of the business—keeping jobs organised, paperwork tight and schedules moving. Day-to-day you will:
Coordinate programs, bookings and site schedules (trades, deliveries, inspections).
Prepare and track purchase orders, progress claims, variations and invoices.
Manage document control: contracts, insurances, permits, drawings, selections, OH&S files.
Maintain job folders (allowances, PS/PC items, quotes, approvals, as-built updates).
Support client communications: meeting notes, updates, selections tracking, handover packs.
Onboard subcontractors: insurances, SWMS, licences, compliance.
Assist with estimating/admin: quote requests, tender comps, cost updates in job budgets.
Keep the office running: supply orders, calendar coordination, inbox triage.
You
Experience in construction administration (builder or trade business) preferred.
Strong organisation & attention to detail—you love tidy job folders and clear paper trails.
Confident communicator with trades, suppliers and clients.
Comfortable with Xero and MS Office/Google Workspace; exposure to Wunderbuild is a bonus.
Able to read drawings/specs at a basic level and follow up gaps proactively.
Australian work rights; driver's licence preferred.
Nice to Have
Knowledge of domestic building contracts, progress payment stages and EOT/variation processes.
Familiarity with permits, inspections, energy reports and compliance docs.
Bonus points for experience using Wunderbuild for job management and scheduling.
