Time To Reline - Administrative officer

We're looking for a motivated and highly organised Administrative Officer to join our growing team. This role is perfect for someone who enjoys variety in their work and thrives in a fast-paced environment. You'll play a key part in keeping our operations running smoothly across administration, compliance, job management, and business development support.

What You'll Be Doing

Office Assistance

  • Answering calls and emails
  • Scheduling appointments and managing calendars
  • Ordering uniforms, materials, and consumables
  • Coordinating supplier pricing and orders
  • Managing insurances, licensing, and registrations

Job Management

  • Preparing and maintaining worksite folders and safety documentation
  • Managing completed job folders
  • Basic invoicing and sending quotes
  • Chasing payments and following up clients
  • Setting up and managing job management software (including SMATA)

ISO Certification & Compliance

  • Maintaining toolbox talk templates
  • Recording incident reports
  • Tracking equipment and vehicle maintenance
  • Managing safety documentation

Human Resources

  • Assisting with recruitment and onboarding
  • Managing timesheets and HR records

Business Development Assistance

  • Coordinating marketing requests
  • Researching trade shows and opportunities
  • Helping arrange photo/footage days
  • Managing Instagram posts and social content
  • Liaising with our bookkeeper

About You

We're looking for someone who:

  • Has strong organisational and communication skills
  • Is confident using job management systems and Microsoft Office/Google Suite
  • Can manage multiple tasks with attention to detail
  • Has a proactive, solutions-focused attitude
  • Ideally has previous experience in administration, office management, or a similar role
