About the Job

We are seeking a motivated Receptionist/Office Coordinator to join our friendly team on a permanent full-time basis at our Brisbane office.

We're looking for a proactive, friendly, and enthusiastic individual to support the daily operations of the office. In this role, you'll engage with a diverse range of stakeholders and make a lasting impact across the organisation.

Duties & Responsibilities

Your duties and responsibilities will include but are not limited to:

Receptionist

  • Being the friendly first point of contact and welcoming face at the front desk, warmly greeting clients, visitors, and staff, and happily assisting with any questions or needs.
  • Answering and directing phone calls in a polite and professional manner.
  • Maintaining a clean and tidy reception area.
  • General tidying of the kitchen and boardrooms.
  • Preparing meeting rooms before and after use (i.e. tidy, restock supplies, etc.).
  • Notifying staff of visitor arrivals.
  • Scheduling appointments and meetings (including room bookings).
  • Handling admin tasks such as emails, mail, and data entry.
  • Arranging stationery orders and staff amenities to ensure supplies are stocked.
  • Organising couriers and managing incoming/outgoing deliveries.

Office Coordinator

In addition to the Reception tasks/duties:

  • Provide proactive and essential support to ensure the smooth day-to-day operations of the office.
  • Deliver friendly, responsive customer service by promptly addressing enquiries from team members and stakeholders.
  • Coordinate the planning and execution of events, conferences, and catering arrangements with attention to detail.
  • Undertake a variety of general administration and office management tasks as needed to support team efficiency.
  • Support compliance and system processes by accurately documenting all training activities and maintaining up-to-date records.
  • Assist the Executive Team and staff with credit card reconciliations and preparation of approval reports.
  • Organise travel arrangements, manage travel accounts, approve expenses, and reconcile related accounts.
  • Monitor and manage company social media platforms as required to maintain engagement and brand presence.
  • Coordinate Workplace Health and Safety initiatives for Head Office, including first aid, floor warden duties, and updating safety documentation and equipment.
  • Support the preparation of reports, presentations, and other key documents for the executive team.
  • Assist with the preparation and compilation of Board papers on a quarterly basis.
  • Provide additional support to the administration and HR teams as required to ensure seamless operations.

Qualifications & Experience

  • Certificate in Business Administration (not essential)
  • 2+ years of experience in office administration
  • Leadership or supervisory experience (not essential)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience in using and overseeing different systems (i.e. relating to travel, expenses, accounts, Canva, etc.)
