The Role
We're seeking a Administration – Coffee Industry (Bookkeeping Focus) professional with a genuine passion for coffee.
This front-of-office role involves liaising with customers both in-person and over the phone, providing excellent service, and supporting day-to-day business operations.
The ideal candidate will be punctual, professional, reliable, and self-motivated — with strong organisational skills, attention to detail, and the ability to multitask in a busy environment.
Key Responsibilities
- Provide friendly and professional customer service in person, over the phone, and via email.
- Manage front-office operations, ensuring smooth day-to-day coordination.
- Maintain accurate financial records across all business areas — green bean imports, local roasting operations, wholesale, retail, and export sales.
- Manage accounts payable and receivable, ensuring timely payments and accurate invoicing.
- Record and reconcile bank accounts, credit cards, and foreign currency transactions.
- Track and reconcile inventory movements — from imported green beans to roasted coffee.
- Process payroll, superannuation, and employee entitlements.
- Assist with BAS, PAYG, GST, and other ATO requirements.
- Monitor cash flow, budgeting, and financial forecasts.
- Prepare monthly reports for management review.
- Manage retail/café bookkeeping, including sales reconciliation, EFTPOS settlements, and petty cash.
- Liaise with suppliers, freight forwarders, and customs brokers for import/export documentation.
- Support end-of-year financial processes and audits.
- Continuously improve office and bookkeeping systems for efficiency.
Key Skills & Attributes
- Proficient in MYOB (AccountRight or Essentials) – strong understanding of payroll, reporting, and reconciliations.
- Previous experience in customer service within the coffee or hospitality industry (preferred).
- Proven bookkeeping experience, ideally within manufacturing, roasting, or FMCG.
- Knowledge of import/export documentation and foreign currency transactions.
- Excellent communication skills – written, verbal, and phone manner.
- Strong attention to detail, accuracy, and organisational ability.
- Knowledge of GST, BAS, PAYG, and Australian accounting standards.
- Ability to manage inventory and COGS processes.
- Friendly, professional, and passionate about coffee and people.
The Package
An excellent remuneration package (including all necessary tools) will be negotiated with the successful candidate, based on experience and skills.
Work Eligibility
