Role Description

This is a full-time on-site role for an Administrative Officer located in North-west Sydney.
You will be the backbone of our operations, providing essential administrative support to the buyers agency team. This role is perfect for a detail-oriented individual with exceptional communication skills who thrives in a fast-paced environment and has a passion for the property industry.

What will you be doing?

  • Communication:

Serve as the first point of contact for incoming inquiries, filter calls, and ensure professional and timely communication with clients, agents, and solicitors.

  • Office & Data Administration:

Maintain a tidy and efficient digital and physical workspace, manage office supplies, and handle general administrative tasks as required.

  • Team Support:

Provide comprehensive administrative support to the buyer's agents, marketing, BD and Research teams, including calendar management, preparing for client meetings, and assisting with marketing campaign setup,management and presentations.

  • Client Management:

Assist with client onboarding, schedule meetings, and maintain accurate data in the CRM. This includes updating clients details regarding contract exchange, advising them on insurance requirements, and introducing them to a property manager post-settlement.

  • Property & Transaction Coordination:

Schedule property viewings and inspections on behalf of clients, liaise with real estate agents and vendors, assist preparing property reports. This involves coordination of pest and building inspections, and organizing tradies for quotes on required work.

  • End-to-End Transaction Management:

Coordinate the entire process from contract exchange through to settlement, including liaising with selling agents, solicitors, mortgage brokers and pest and building inspectors to ensure a smooth settlement.

What will you bring?

  • 12 months real estate experience and a Certificate of Registration (or willingness to obtain ASAP).
  • Proven experience in a similar role, preferably within real estate or a related field.
  • Exceptional organizational skills with ability to multitask, and prioritize deadlines.
  • A proactive, solutions-oriented attitude with the ability to anticipate needs and handle challenges.
  • Outstanding written and verbal communication skills to effectively liaise with all stakeholders.
  • Meticulous attention to detail, especially when managing documentation, contracts, and client data.
  • Proficiency with office productivity tools (Google Workspace) and experience with CRMs (e.g.,Zoho).
