As our Office Coordinator at Hastings Deering / Sime office (146 Kerry Rd, Archerfield), you'll play a pivotal role in keeping our Brisbane IT office running smoothly, while supporting our people and creating a positive, efficient workplace environment. In this role, you will:
- Lead by example – champion safety initiatives, foster teamwork, and actively contribute to a culture of trust, fairness, and collaboration.
- Support our people – support onboarding, offboarding, and induction processes, coordinate training requirements, and ensure safety personnel certifications remain up to date.
- Keep the office humming – oversee facilities, reception, meeting rooms, and kitchen areas to ensure a professional, welcoming, and well-resourced workplace.
- Deliver seamless coordination – organise meetings, travel, accommodation, events, and functions with precision and attention to detail.
- Drive operational excellence – manage purchase orders, budgeting, and invoicing, while ensuring reliable processes and cost-effective use of resources.
- Enable productivity – support the IT Management team and Executive Assistant with administration, document management, and streamlined workflows across SharePoint and Teams.
- Create positive experiences – act as the first point of contact for visitors, suppliers, and customers, delivering exceptional service every time.
- Contribute to growth – seek opportunities to improve processes, share ideas, and build collaborative relationships that support both team and business success.

About You
A successful teammate will have experience in:
- Strong experience in office management or administration within a diversified organisation
- Strong computer literacy, with advanced skills across Microsoft Office applications
- Demonstrated ability to engage with stakeholders and customers with professionalism, confidentiality, and confidence
- A proactive, collaborative approach and a drive to continuously improve processes and outcomes
- A strong willingness to learn
