Chill Factor is a growing company based in Acacia Ridge, servicing Brisbane and surrounding areas that has room for a proactive and organised Office Service Assistant.

As an Office Service Assistant, you will be the backbone of our office operations, ensuring smooth coordination between our field technicians, clients and Service Manager.  This role presents an exciting opportunity for individuals with strong organisaiton skills and a passion for delivery outstanding service.

Key Responsibilities:

  • Scheduling, prioritising and coordinating jobs – ensuring efficiency
  • Answering and following up on phone enquiries and email correspondence
  • Providing general advice/information to customers via the phone including basic pricing
  • Liaising with technicians
  • Follow up and ordering parts
  • Preparation of quotes
  • Maintaining accurate job information and notes on the internal system
  • Ensuring all paperwork/documentation is completed received and/or sent;  Invoicing live throughout the day
  • Follow up customer service phone calls
  • Assisting management with administrative duties as requested.
  • Maintaining the office environment
  • Continually assessing processes and practices to ensure efficiency.

  • Data entry (Simpro)

  • Supplier invoices

  • Purchase orders
  • Supplier invoiced
  • Customer invoices

To be considered you must have

  • Experienced in a similar role and environment
  • Able to work well under pressure and manage a range of tasks
  • Focus and committed
  • Able to prioritise jobs efficiently and effectively
  • Able to familiarise themselves with geographical locations around the Brisbane/Gold Coast areas
  • An excellent communicator both written and verbal
  • Customer service focus
  • An excellent listener with the ability to document information accurately
  • A team player with a  strong work ethic
  • Highly organised with attention to detail.
  • Simpro knowledge is an advantage
