Plumbing Office Administration

We're not looking for "just an admin."
We're looking for someone who takes full control of the office, customer care, scheduling, payments, and coordination between the field team and the director.
At Fast Direct Plumbing, we hold a high standard. Every call answered properly. Every job tracked. Every payment closed the same day. No excuses. No loose ends.
We need a reliable, switched-on admin who's already worked in a plumbing or trade company and understands how the workflow runs. such as calls, bookings, dispatch, customer updates, job finalisation and data entry.
Core Responsibilities:
- Answer inbound calls confidently, book jobs through ServiceM8, and manage follow-ups
- Review every job card: notes, photos, and signatures. (nothing missed)
- Coordinate the daily and next-day schedule with precision
- Track and confirm payments, chase overdue invoices, and finalise jobs daily
- Send the Director a daily report outlining jobs, payments, and any issues
- Keep communication flowing between office and field. Clear, firm, and professional
- Data entry into our CRM
What We're Looking For:
- Minimum 2 years' experience in a plumbing or trade-based admin role
- Excellent phone and written communication skills
- Organised, proactive, and confident managing multiple moving parts
- Takes ownership. (You don't wait to be told twice)
- Calm under pressure, sharp attention to detail, and reliable every single day
- Experience with trade-specific CRM and scheduling software systems required
What We Offer:
- $70,000 – $85,000 + super (based on experience)
- Full-time | Monday–Friday | Office-based 8am - 4pm 0r 9am - 5pm
