**How will I help?**
As a Team Assistant you will be responsible for the efficient coordination of the office function in the Group Finance (GF) team and support the Leadership Team as and when required. Duties include expense management, travel administration, technology troubleshooting, event coordination, relief for Executive Assistant and general administration and office management. This role supports a vibrant culture of positive energy, fun and collaboration.
**Key Accountabilities**
- Diary management of Heads of and cover EA role when required
- Coordination of team and external guest meetings including managing invite lists, agenda and minutes, meeting room booking, set up of materials and catering if required
- Initiate and coordinate staff and other (graduate, external auditor, consultant) movements including documentation, technology set-up, security and related accesses, timely onboarding for new starters, transfers, separations and desk moves
- Co-ordination and organisation of final Board, Executive Team and other Committee papers through to submission to Company Secretariat
- Assistance with GF Social Club activities and team social events
- COUPA data entry and coordination of invoices, payments, internal chargebacks and reimbursements
- Tracking of mandatory team training, leave balances, goals and performance review activities to timely completion
- Travel and accommodation bookings
- Update and maintain distribution and group lists, birthdays and anniversaries

**What do I need?**
- Prior team coordination experience essential
- Intermediate: MS Office Skills (Word, PowerPoint, and Excel)
- Positive attitude and resourceful
- Excellent oral and written communication skills
- Strong planning and organisational skills and the ability to manage multiple tasks at any given time
- Ability to work collaboratively with staff and clients at all levels including on confidential / sensitive matters
- A working style that is team oriented and flexible and the ability to prioritise well during peak periods e.g. year-end results Strong attention to detail with the ability to
- procedures and produce high quality output
- Proficiency in expense management processes or systems
