- Executive diary management for the Head of Agency & Debt Execution (A&DE).
Plan and manage travel and accommodation for the abovementioned senior leader in addition to A&DE Australia team members; in line with ANZ policy.
Event planning, including working with the Institutional Marketing team to arrange and deliver key internal and external events for A&DE Australia; in addition to co-ordinating catering and venue requirements for team conferences, meetings and functions.
Team support for the Agency, Loan Structuring & Execution and Loan Product Management teams comprising of five team leaders and a total team of fifty as required.
About the role
This role is an exciting and fast-paced Executive Assistant role supporting a senior leader and wider team and will include broader business management, event and communications co-ordination, and project support.
The role will also provide executive support to the Head of A&DE, and the team leaders across Agency, Loan Structuring & Execution and Loan Product Management to manage their diaries, prioritise meetings, and manage stakeholder expectations.
You will work closely with the Head of A&DE to support the overall cadence of the team to help ensure that the team is running efficiently and effectively. You are highly organised and can thrive in fast-paced, constantly changing environments. You can juggle competing priorities and different agendas and build collaborative relationships with your stakeholders - across the business, in Corporate Finance and within Institutional Banking.
In addition to your day-to-day work, you will have the opportunity to support the team to deliver on the Corporate Finance strategy, as well as get involved in small projects or initiatives. Depending on your interests and the needs of the team, these projects could be across a broad range of areas from business continuity and risk management, to culture and engagement. You are highly initiative taking, have an eye for detail, and take personal accountability for outcomes.

**Role Type**: Full-time, OR Part-time 3days per week
**Your key responsibilities include**:
Executive diary management for one senior leader, in a demanding environment.
Communication and stakeholder management - leaders, peers, team members, external parties.
Business management support activity - including team finances and invoice management and resolving and escalating queries.
Support team cadence - including scheduling learning sessions, team meetings and events, on-boarding new A&DE Australia staff, graduate/intern rotations, completion of new starter lists and access requests, dealing with A&DE property requests, health and safety and other compliance requirements.
Support and manage small projects and initiatives on behalf of the Head of A&DE, which may require aspects of managing and analysing data and pulling together papers and presentations.
Supporting the Agency, Loan Structuring & Execution and Loan Product Management teams as required.
**Managing key relationships**:
Effectively communicate and engage with stakeholders through the diary management process, putting ANZ values at the heart of what you do.
Building networks with team colleagues and peers - within Corporate Finance and the Institutional business, creating a community of mutual support and learning.
Collaboration - with team members and other Executive Assistants and colleagues in supporting team activities and initiatives.
Discretion - the ability to exercise foresight and discretion in supporting the Head of Agency & Debt Execution and the A&DE Australia team.
What will you bring?
To grow and be successful in this role, you will ideally bring the following:
Experience in executive diary management and minute taking in a complex demanding environment and within a large team with multiple stakeholders.
A collaborator with a positive, can-do attitude who genuinely enjoys collaborating with others in service of business needs.
Excellent administrative and organisational skills, elevated level of Outlook proficiency and experience with Excel, Word, and PowerPoint, together with a strong delivery focus.
Ability to manage competing priorities and resolve issues at pace.
Ability to use initiative, collaborate and influence others, and adapt quickly and effectively to changing circumstances.
Demonstrated abilities in planning & prioritisation, building & influencing relationships, execution, and consulting.
Ideally 5+ years’ experience as an Executive Assistant in a similar role.
