With a long term strategy for continued growth, we have a newly created opportunity for a Operations Administrator to join our Grounds Operations Division based at Super Gardens office in Mulgrave.

Working closely with the General Manager Operations and providing support to the Operations team, you will require strong communication and highly developed administrative and computer skills to ensure the effective day to day functioning of the team.

**Some of your challenges include**:

- Preparing Agendas and distributing same in a timely manner;

- Proposals

- Briefing Notes
- Correspondence
- Administration support
- Preparing presentations
- General correspondence
- Engaging suppliers for quotations as directed by GMO
- Process improvement
- Coordinate meetings, functions, conferences and events Work with Managers and Operations staff to prioritise and complete a variety of administration tasks to ensure the effective functioning of the Grounds Operations department;
- Assist with gathering critical operational (job numbers, project inputs such as hours, materials, etc.) and financial data (invoices, PO’s Purchase Orders, Delivery Dockets, time sheets) and generate reports as a basis for contract and operations managers;
- Assist in compiling and typing accurate correspondence and quotations with customers;
- Assist with coordinating the procurement of materials and subcontractors for minor quotations and works;
- Assist in preparing key monthly customer reports including KPI reports, performance against budget and WIP reports;
- Handle a range of enquires from customers, suppliers, sub-contractors and staff regarding the status of jobs and quotation requests etc.;
- Communicate and maintain strong relationships with a range of stakeholders including operations staff, customers, suppliers and sub-contractors;
- Work independently and autonomously in absence of other operations staff;
**You will bring**:

- Ideally, you will be a proactive individual with a strong background in Personal/Executive Assistant roles;
- Effective communication skills and an ability to develop strong relationships with a range of key internal and external stakeholders;
- An ability to effectively plan, allocate and prioritise multiple projects and work requirements to meet strict deadlines;
- Strong computer skills in MS Office including intermediate skills in MS Excel are required
- Sound problem solving ability;
- A strong customer focus;
- Strong attention to detail;
- Flexibility and a team player;
