About VMIA
Victorian Managed Insurance Authority (VMIA) is the Victorian Government's insurer and risk adviser, covering the people and projects that help Victorians thrive. We're an agency in the Department of Treasury and Finance portfolio established under the Victorian Managed Insurance Authority Act, and report to the Assistant Treasurer.
We provide insurance and risk advice to government departments and agencies, with more than 4,600 clients ranging from small community service organisations to public hospitals, schools, and core service providers. We also provide domestic building insurance to builders, giving Victorian homeowners peace of mind for building projects valued over $16,000.
We help our clients prepare for, prevent, or reduce the impact of harm. When things don't go to plan, we help clients restore services and recover quickly.

Your role
We have an exciting position available for a dynamic Facilities Manager to join the VMIA family.
As the Facilities Manager, you will play a key role to shape and manage our workplace environment and related services to ensure that we are best placed to deliver on our objectives.
We are looking for a forward-thinking professional to ensure that there is a plan that anticipates and responds to potential business issues and opportunities related to our physical environment. You will also provide advice and support for any lease renewals or lease renegotiations and support relocations in line with the lease arrangements and lease term.

Your role reports to Head of People and Culture in the Business Operations Division.
How you'll make an impact
- You ensure effective planning is in place for property requirements into the future ensuring consideration of best practice and the integration of people, processes, and technology in the workplace.
- You maximise the opportunity available in our physical environment with effective space planning, seamless services, and effective liaison with external stakeholders including building management.
- You lead facilities related purchasing, contract, and asset management, and fleet management activities ensuring that VMIA meets compliance requirements and leverages public sector arrangements.
- You plan and provide office services that are differentiated supporting our employee value proposition and the people experience with a focus on safety and wellbeing.
- You effectively manage risk and business continuity planning in relation to our physical environment.
- You provide advice and support for any lease renewals or lease renegotiations and support relocations in line with the lease arrangements and lease term.
- Provide leadership, coaching and guidance to our Administrative Services Officer.
Who you work with
- The ELT and Senior Leaders to ensure that business needs are captured and reflected in planning to recommend and operationalise appropriate solutions and services.
- Building management to ensure that our tenancy is managed seamlessly ensuring business continuity.
- IT leadership to ensure effective integration of technology with the environment.
- Legal and compliance team to ensure that effective purchasing and contract management is in place.
About you
- Demonstrated and solid experience in a similar role within building/facilities management - managing and delivering facilities services and activities within a complex physical environment.
- Previous experience managing and providing advice for lease negotiation, renewals, and relocation.
- Strong communication and people skills with the ability to develop and maintain relationships with internal and external stakeholders at different levels.
- Demonstrated experience in space planning, contract management and purchasing.
- Willingness to adopt, command and work within safe work policies, practices, and methods.
- Sound knowledge and understanding of building or facility management codes.
- Proven track record in project management and juggling multiple priorities.
- You have a proactive approach with the ability to respond quickly to change and day to day issues.
