**About - The Melbourne School of Population and Global Health**
Approximately 300 academic and professional staff work across the School and its partner agencies. The School’s total budget is in excess of $50m. There are approximately 120 higher degree research students (predominantly PhD).
**About the Role**
This is an exciting opportunity to provide administrative and managerial support to the BeST BOWEL Cancer Screening project, funded by an NHMRC Synergy Grant. You will join a team of academics who will develop and test interventions to increase uptake of the National Bowel Cancer Screening Program. The project being led by Professor Mark Jenkins is located within the Centre for Epidemiology and Biostatistics, Melbourne School of Population and Global Health
Responsibilities include:
- Organize and facilitate meetings, include diary booking, agenda setting and distribution, collating minutes and action points, and following up on delivery of action points.
- Assist with project coordination: creating tasks and deadlines under supervision, assisting with staff and stakeholder coordination to ensure deliverables are met.
- Organize and deploy IT solutions to project management, and prepare and monitor budgets for projects.
- Process financial transactions including purchasing card coding, supplier payments, purchase orders, reimbursement of general and travel expenses.
- Secretariat functions for meetings and conferences including scheduling, venue & catering booking, coordination and registration of participants and minute taking.
**About You**
You have the demonstrated ability to work as a member of a research team and interact in a courteous and effective manner with academic, administrative and support staff and have strong organisational skills and initiative in problem solving.
You possess the ability to communicate well, effectively, and in a friendly manner with people from a very diverse range of backgrounds and the ability to plan and organise, showing excellent time management skills and strong attention to detail with limited supervision.
You will also have:
- A tertiary qualification in a relevant field, with subsequent relevant experience or an equivalent combination of relevant experience and/or education and training
- Previous experience in a broad range of administrative duties including booking travel, processing financial transactions (coding purchasing cards), managing accurate records, coordinating meetings, and providing committee support such as drafting agendas, minutes and facilitating the follow-up of action items.
- Demonstrated experience in administering and working on complex research programs, including program reporting for national and international funding bodies, project management (e.g. using Project management software).
- A high degree of proficiency in a range of software packages including the Microsoft Office suite - and Teams, SharePoint and other IT supports for project management and coordination
