Here at Low Cost Housing, we are looking for a skilled **Administrative Assistant** to join our team. In this role, you will play a pivotal part in managing our customer database using Excel, assisting with sales inquiries, and ensuring smooth day-to-day operations.
**ResponsibilitiesMain tasks include**:
- Maintaining and updating the customer database using Excel.
- Assisting with sales inquiries and providing information to potential customers.
- Handling customer concerns and resolving queries related to payments.
- Sending monthly payment reminders and following up with customers regarding overdue payments.
- Managing council payments, insurance, land taxes, and other financial transactions, organising them into structured payment plans.
**Additional administrative duties**:
- Managing and updating executive calendars, scheduling appointments, and coordinating meetings.
- Assisting with travel arrangements, including booking flights, accommodations, and transportation.
- Preparing and reviewing correspondence, reports, and presentations.
- Keeping accurate records and files, both electronically and physically.
- Ordering and overseeing office supplies to ensure availability and neatness.
- Arranging office events, meetings, and conferences.
- Providing support to the team with various administrative and customer service tasks as needed.
**Requirements**:
- Proficiency in **MS Office Suite** (Word, Excel, PowerPoint, Outlook), particularly **advanced Excel skills**.
- Demonstrated experience in an **administrative role** or **customer service role**.
- Strong **sales skills** with the ability to engage and assist customers effectively.
- Experience in handling **difficult customers** and resolving disputes with professionalism.
- Excellent **communication and negotiation skills** to maintain positive customer relationships.
- Exceptional **organisational and time management** abilities.
- Attention to detail and accuracy in data management.
- Ability to multitask and prioritise tasks efficiently.
- Professional and friendly manner with a focus on **customer service**.
- Discretion when handling confidential information.
**Job Types**: Part-time, Casual
Pay: $30.00 per hour
Expected hours: 22.5 per week
Schedule:
- 8 hour shift
**Experience**:
- Microsoft Excel: 3 years (preferred)
- Direct sales: 2 years (preferred)
- Administration: 1 year (preferred)
