**About the Role**:
John Holland have recently been awarded an Iconic large water infrastructure project based in Werribee, VIC. We’re currently in the design and planning phase and are looking for an experienced Project Administrator to join our project team. Reporting into our Project Director, you'll be accountable for day to day running of the site office, secretarial support, records management, precise data entry, and handling accounts and invoices. You'll also support procurement processes and coordinate meeting and event logistics. Join us and play a key role in driving our project's administrative excellence

**Key Responsibilities**:

- Manage and maintain project records, ensuring that information is accurate, up-to-date and stored.
- Compose status reports relevant to the project’s operations
- Coordinate, track and analyse the purchasing of goods
- Process invoices; purchase orders; prepare expense claims; administration of petty cash; maintain stationarybudget; and process timesheets.
- Communicate and liaise with the client, external vendors, subcontractors and community stakeholders for administrative purposes
- Coordinate meetings or events which may include preparing agendas, invitations, catering, note/minute taking, distributing actions and general organisational support
- Provide receptionist and secretarial support to the Project Manager and broader team as required
- Provide basic support to colleagues on John Holland systems and programs
- Take care of the office workspace, mail and office equipment
- Perform all duties in accordance with John Holland policies, processes, reporting, systems and procedures

**To be successful**:

- Equivalent experience in administration
- Intermediate to advanced computer literacy skills
- Administrative practices and procedures
- Records management
- Experience working in an administrative role within a project environment or equivalent industry
