Job Title

A highly skilled and experienced Board Administrator/Executive Assistant is required to join our team in a dynamic role.

The ideal candidate will provide secretariat support to the Company Secretary, ensuring that board meetings are run effectively and efficiently.

Key responsibilities include:

  • Managing electronic board papers, uploading packs in line with agreed dates
  • Managing meeting logistics, including invitations and attendance registers
  • Coordinating events from sourcing venues to execution, including technology and room setup
  • Proactively managing offsite director meetings, locations, and logistics
  • Preparing initial drafts of board agendas (as directed)
  • Providing key liaison support for timely receipt of board papers
  • Assisting with finalizing actions post-board meetings
  • Preparing ghost minutes for board minutes ahead of the meeting
  • General office support, including uploading invoices for approval and monthly reconciliations
  • Diary management, drafting, and managing correspondence, and general administrative duties

The successful candidate will possess high levels of personal integrity, be a born organiser with strong attention to detail, and have experience and ability to anticipate needs.

Requirements include:

  • Minimum 3-5 years' demonstrated experience in a similar position
  • Experience managing calendars and logistics for executives or directors - board and committee
  • Event management experience and ability to manage related logistics for key company events
  • Advanced skills in MS Office Suite, including Teams, SharePoint, and Outlook, and be tech-savvy
  • Ability to provide evidence of Covid19 immunisation
